Mailing & Faxing

  • Campus Mail: Pick-Up/Delivery: Daily between 9:00-11:00am (subject to delay)
    • Incoming: Office staff distributes mail into mailboxes
    • Outgoing: Leave items in the black tray located on the left-hand desk in the main office. Return inter-loan library (ILL) books in an ILL bag. The office does not store these bags, so you must use your own.
  • USPS: Pick-Up/Delivery: Daily between 1:00-3:00pm (subject to delay)
    • Incoming: Office staff distributes mail into mailboxes
    • Outgoing: Stamped (postage paid) mail must be placed in the bottom tray the black mail organizer located on the left-hand desk in the main office. Mail over 13 oz. must be taken to the Post Office for sending.
    • Note: To figure out how much postage is needed a piece of mail, use the scale located at the workspace counter in the main office and look the price up online.

  • FedEx, UPS, University Delivery, etc. deliver packages throughout the day.
    • Incoming Packages: Office staff distribute smaller packages to mailboxes. For other package deliveries, staff will place a “Large Package” slip in the receiver’s mailbox and/or send an email to them to pick up their package in the main office. Large packages may be placed underneath the mailboxes or behind the front desk depending on their size and weight.
    • Outgoing packages: FedEx paperwork and envelopes may be found and picked up in the front office. The sender is responsible for dropping the package(s) off at the nearest drop box location.
  • Mail Forwarding
    • The department will forward First Class mail for individuals no longer in the department. All bulk and Third Class mail will be recycled.
      • Emeriti & departed faculty: The department will forward First Class mail received for any retired or departed faculty, assuming an address is provided. Faculty can request to stop receiving forward mail or certain types of mail at any time.
      • Graduate students: After one year has passed from the student's departure, it is the assumption that the student has taken the necessary measures to ensure important mail is being sent to their correct address.
    • Expenses will be charged to the faculty member's research account via staff P-Card.
  • Faxing
    • Fax number: 612-626-7599
    • The fax machine is located in the main office copier room.
    • Incoming Faxes: Individuals are responsible for picking up incoming faxes unless they notify office staff in advance.
    • Outgoing Faxes: For University business, please use the Fax Cover Sheet located to the left of the fax machine. Dial the number to which you are sending the fax, and press “Start.” Hold every page except the next one set to pull through to avoid the machine pulling multiple pages at once.
    • For faxing out of the university, dial “8” and the ten-digit number to which you are sending the fax.
    • For faxing within the university system, dial the last five digits of the number.
